A real estate assistant is a remote Philippine based employee of AgentUp who is dedicated to you and your business for 2, 4 or 8 hours each working day to accomplish any assigned tasks, such as transaction coordination, social media marketing, and lead generation tasks.
A real estate virtual assistant focuses more on back-office administrative tasks, such as custom transaction management workflows, graphic design, social media, customer service, etc. whereas a transaction coordinator has deeper training and more experience in managing files as well as direct US-based oversight from senior TCs to ensure a higher degree of support and broker compliance.
Your real estate assistant is just that, your assistant. Think of them as your own new employee, which naturally requires some level of training and onboarding on your end. However, AgentUp provides industry leading onboarding to help you train your VA or TC, as well as provides the most extensive real estate VA training of any virtual assistant services.
In most cases your VA or TC will have prior industry experience, but will also undergo a 40-hour licensure level VA training course, a TC basic training course, and be fully trained in the AgentUp system. Additionally, VAs have further training in graphic design, social media and email marketing and TCs have more in-depth experience in file management and real estate contracts.
AgentUp has ready-to-hire real estate assistants which you can immediately review and interview. Upon selecting your favorite candidate you can start your first month paid trial the next day. This process typically takes most agents about a week to get up and running, but we can accommodate faster timelines as needed.
Whether you hire an employee in the US or the Philippines, the legalities around employment are complex and expensive. AgentUp has operated a fully compliant, fully US-owned subsidiary in the Philippines since 2012 and handles all the recruitment, HR, payroll, government compliance, employee benefits, office rentals, IT support, etc so you don’t have to. You simply review pre-hired, pre-screened, pre-trained applicants and pick which one to work with and pay a simple monthly flat fee, AgentUp handles all the rest.
For very streamlined workflows that have steady volume it may be possible for some TCs to manage 50 to 100 files simultaneously, but ultimately it depends on your unique business. Other variables, such as your state (attorney vs title, required disclosures), your broker’s requirements, and your own personal workflow and software come into play, along with any additional tasks you have assigned them. Because of these factors, we advertise that our full time transaction coordinators can typically handle 35 or more transactions per month and a part-time TC may handle 15 or more transactions per month.
The most common tasks we encourage agents to hand off to their real estate assistants include transaction management, social media, graphic design, lead management, and email marketing. You are welcome to give your real estate virtual assistant any project or task that supports your business and doesn’t break any laws.
AgentUp requires that you do not provide any financially sensitive information, such as credit card or bank numbers, or related tasks to your real estate assistant.

In many cases yes. We provide the available working hours for each real estate assistant candidate up front so you can ensure the working hours fit your desired schedule and time zone.
Your real estate assistant will be allowed one paid day off per month. Each additional day off, whether for sick days, schedule vacation or other approved leaves, will be prorated on your next month’s invoice. Additionally, for our transaction coordinator offering we provide real time leave coverage by our US-based senior TCs. Real estate VAs do not have this coverage, but in the rare instance your VA is absent too often, we will work with you to find a replacement VA and prorate your bill accordingly.
For most people, the biggest reason for not hitting their sales goals is taking their foot off the sales pedal. Our advice is to leverage your time as soon as you find administrative tasks are pulling you away from revenue generating activities, such as lead generation, listing or showing homes, and so forth.
